Terms and Conditions

These Terms & Conditions govern all reservations made with Cambus O’May Hotel, whether directly through our website, by email, by telephone, or in person. By confirming a booking, guests acknowledge that they have read, understood, and agreed to these Terms & Conditions.

The purpose of these Terms & Conditions is to ensure transparency and fairness for both Cambus O’May Hotel and its guests. We kindly ask all guests to review these terms carefully before making a reservation.

1. Reservation Guarantee

  • All reservations must be guaranteed with a valid payment card at the time of booking.

  • By providing payment details, guests authorise Cambus O’May Hotel to charge the card for the reservation and any applicable cancellation fees.

  • Reservations without valid payment details may be cancelled by the Hotel without notice.

2. Payment Terms

  • Full or partial prepayment may be required at the time of booking.

  • Accepted payment methods include Visa and Mastercard.

  • Guests authorise the hotel to charge the card for the reservation, including any applicable cancellation or amendment fees.

3. Cancellation Policy

We understand that travel plans may change. To ensure fairness and clarity, the following terms apply to all reservations made directly with Cambus O’May Hotel:

Cancellation Charges

  • More than 14 days prior to arrival: Cancellations will incur a 10% administration fee, deducted from any prepayment.

  • Within 14 days of arrival: A charge of 50% of the total reservation value, plus a 10% administration fee, will apply.

  • Within 48 hours of arrival: The full balance of the reservation will be charged.

  • No-shows: The full balance of the reservation will be charged.

Early Departures & Amendments

  • Guests who shorten their stay after check-in remain liable for the full cost of the original reservation.

  • Amendments to bookings may be treated as cancellations and re-bookings, at the discretion of Cambus O’May Hotel.

Exceptional Circumstances

  • We understand that unexpected events can arise, such as illness, travel difficulties, or adverse weather. However, all cancellations remain subject to the standard cancellation charges outlined above.

  • Cambus O’May Hotel reserves the right to apply cancellation fees in accordance with this policy, regardless of the reason for non-arrival or early departure.

Force Majeure

  • Cambus O’May Hotel shall not be liable for any refund or compensation in the event that a reservation cannot be honoured due to circumstances beyond its reasonable control, including but not limited to natural disasters, pandemics, government restrictions, strikes, or transport disruptions.

4. Check-in and Check-out

  • Check-in time: 3:00 pm

  • Check-out time 11:00 am

  • Late check-out may be subject to additional charges and must be arranged in advance.

  • Early check-in requests will be accommodated where possible, subject to availability.

5. Room Occupancy and Conduct

  • Maximum occupancy per room must be respected.

  • Guests are expected to behave in a manner that does not disturb other guests.

  • Cambus O’May Hotel reserves the right to remove guests from the premises for unacceptable behaviour, without refund.

6. Room Allocation & Changes

  • While we strive to honour every booking, on rare occasions it may be necessary to offer a different room than originally reserved due to availability or unforeseen circumstances.

  • In such cases, Cambus O’May Hotel will make every effort to provide a room of equal or higher standard.

  • Guests affected by a change will be notified as soon as possible and offered the option to reschedule their stay or receive a full refund.

  • Cambus O’May Hotel will not be liable for any additional costs incurred by the guest in these situations beyond the refund or rescheduling of the original booking.

7. Dogs & Pets

  • Cambus O’May Hotel welcomes dogs on the premises, subject to prior notification at the time of booking.

  • Dogs must be well-behaved, kept on a leash in public areas, and not left unattended in guest rooms.

  • Owners are responsible for cleaning up after their pets and for any damage caused during the stay.

  • Additional charges may apply for dogs or other pets.

  • For the comfort and safety of all guests, the hotel reserves the right to refuse entry to pets that are disruptive or pose a risk.

8. Liability

  • Cambus O’May Hotel is not responsible for loss or damage to personal belongings.

  • Guests are responsible for any damage caused to the property during their stay.

9. Special Requests

  • The Hotel will make reasonable efforts to accommodate special requests, including dietary requirements or accessibility needs.

  • Requests cannot be guaranteed and should be communicated at the time of booking.

10. Amendments to Bookings

  • Any changes to a reservation, including dates, room type, or number of guests, may be treated as a cancellation and re-booking.

  • Any applicable fees will be applied in line with the Cancellation Policy.

11. Afternoon Tea Reservations

Reservation Policy

  • Advance reservations are highly recommended to ensure availability. Please book at least 48 hours in advance.

Dress Code

  • Guests are encouraged to dress comfortably while enjoying the elegance of our afternoon tea. Smart casual attire is appreciated.

Conduct

  • Attendees are expected to maintain a respectful and courteous demeanor. Noise levels should be kept low to foster a relaxed environment.

Timing & Time Limit

  • Each afternoon tea experience is allocated a maximum of 90 minutes.

  • Guests are encouraged to arrive at least 10 minutes before their reservation time to enjoy the full experience.

  • Afternoon tea is served daily from 1:00 PM to 4:30 PM.

Dietary Restrictions

  • Please inform us of any dietary restrictions or allergies when making your reservation so we can accommodate your needs.

Cancellations & Modifications

  • Cancellations made with at least 7 days’ notice are eligible for a full refund.

  • Cancellations made 4 days prior to the reservation will receive a 50% refund.

  • Cancellations made within 48 hours are non-refundable; however, bookings can be rescheduled, subject to the same 48-hour cancellation policy.

Payment Policy

  • Payment will be processed upon confirmation of your reservation.

Enjoyment Space

  • Afternoon tea is served in the Highlands at the banks of the River Dee, featuring views, music, and our attentive team providing the perfect setting for a relaxing experience.

Alcohol Service

  • Alcohol is available during afternoon tea for guests aged 18 or over.

  • The hotel reserves the right to refuse service to any guest who appears intoxicated or behaves inappropriately.

12. Restaurant Reservations

Opening Times

  • Monday – Saturday: 6:00 PM – 8:00 PM

  • Sunday: 5:00 PM – 7:00 PM

  • Please note the kitchen closes at 8:00 PM.

Reservation Policy

  • Advance reservations are recommended to secure a table.

Cancellations & Modifications

  • We kindly request that cancellations or changes to restaurant bookings are made as early as possible.

  • Any no-shows or late cancellations may be subject to a fee at the discretion of Cambus O’May Hotel.

Conduct

  • Guests are expected to maintain a courteous and respectful demeanor in the restaurant.

  • Cambus O’May Hotel reserves the right to refuse service to anyone acting inappropriately or causing disturbance to others.

Alcohol Service

  • Alcohol is served to guests aged 18 or over.

  • The hotel reserves the right to refuse service to any guest who appears intoxicated or behaves inappropriately.

13. Data & Privacy

  • Guest personal information will be stored securely and used in accordance with privacy laws.

  • By making a reservation, guests consent to the use of their information for booking and communication purposes.
